Administrative Assistant (Bilingual) Temporary Summer Position
Description

The Administrative Assistant provides essential administrative and operational support to ensure the smooth day-to-day functioning of the organization. Working in a nonprofit environment that supports refugees and newcomers, the Administrative Assistant plays a key role in supporting staff, programs, and clients by maintaining organized systems, providing front-line assistance, and contributing to a welcoming and inclusive workplace

Responsibilities
  • Provide general administrative support including filing, data entry, photocopying, scanning, and document preparation
  • Maintain accurate electronic and physical records in compliance with organizational policies
  • Manage calendars, schedule meetings, and coordinate logistics for internal and external meetings
  • Answer phones, respond to emails, and direct inquiries to appropriate staff
  • Assist with office coordination, including ordering supplies and maintaining office equipment
  • Support onboarding processes for staff, volunteers, and interns
  • Assist with tracking expenses, invoices, and basic bookkeeping tasks as required
  • Support program staff with administrative tasks related to service delivery
  • Assist with client intake documentation, appointment scheduling, and follow-ups
  • Ensure a welcoming and respectful environment for newcomers, visitors, and community partners
  • Assist with preparing reports, correspondence, and presentations
  • Support internal communications and coordination among team members
  • Liaise with community partners and service providers as directed
Qualifications
  • Bilingual in English and French (required)
  • Previous administrative or office experience is an asset
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office and/or Google Workspace
  • Ability to multitask and work independently
  • Professional, respectful, and culturally sensitive attitude
  • Strong attention to detail and confidentiality
  • Experience working in nonprofit or community organizations is an asset
